Job Description

We are seeking a detail-oriented and organized individual to join our team as an

Operations Coordinator

. The Coordinator supports the fabrication department by validating time and attendance, preparing and closing out job packets, maintaining reports and dashboards, coordinating consumables, tracking maintenance, and assisting with on-floor system use. This role requires strong organization, attention to detail, and the ability to work effectively in a fast-paced environment.

Key Responsibilities:



Validate timesheets against the time & attendance system; verify PTO/call-in entries and supervisor approvals; prepare attendance summaries; partner with HR on pre-submission corrections. Collect PTO and related documentation from operations and forward to HR with accurate dates and signatures. Maintain and publish daily production meeting notes and work-in-progress updates. Prepare, assemble, and deliver released project packets (e.g., drawings, routers/travelers, tags, media cards) to supervisors, track delivery. Close out completed projects: confirm required documents, upload photos/records to the shared drive, and file paperwork with downstream quality/logistics teams. Run routine reports from ERP/MRP and the project-management platform (e.g., open work orders, router usage, time exceptions over threshold, workforce currently clocked in); coordinate corrections with supervisors and accounting. Provide floor support for basic system use (routers/travelers, terminals); escalate issues to the internal support team as needed; assist with user training. Monitor consumables with supervisors (e.g., welding gases, fuels, PPE) and coordinate replenishment. Update and track the maintenance tracker/CMMS: log new needs, close completed items, and support the weekly maintenance touchpoint. Maintain draft fabrication KPIs (utilization/efficiency, consumable cost, project time in shop) and support simple time studies with Continuous Improvement. Assist with procedure reviews, drafting, and revisions; publish approved updates. Support receiving/purchasing/fabrication validation by investigating missing/received materials when requested. Establish and maintain tracking for fabrication non-conformances (NCRs) and related cost capture. Provide light cross-department support (time corrections, spreadsheet trackers, consumables) as assigned. Other duties as assigned.

Quick learner who asks clarifying questions. Excellent organization, interpersonal, and communication skills. Able to work in a fast-paced environment with firm deadlines. Intermediate to advanced Excel (lookups, filters, pivot tables) and disciplined file management. Comfortable on the shop floor; proactive in closing loops across HR/Accounting/Operations.

Education/Experience:



High school diploma or equivalent required. 2+ years of related experience in manufacturing/fabrication or construction/engineering administration preferred. Proficient with Microsoft Office (Excel, Word, Outlook); advanced Excel strongly preferred. Proficient with PDF tools. Experience with ERP/MRP, project-management platforms, time & attendance systems, and CMMS is preferred. Industry-related experience in fabrication or production environments is a plus.
Job Type: Full-time

Pay: $20.00 - $24.00 per hour
