We are seeking a detail-oriented and proactive Operations Coordinator to join our dynamic team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office, providing exceptional support to both staff and clients. This position requires a blend of administrative expertise, customer service skills, and organizational abilities to manage various tasks efficiently.
Responsibilities
Coordinate scheduling, follow-ups, and communications- Track progress on real estate projects, coaching programs, and investments- Support Airbnb and rental property management with occasional check-ins- Assist with lease administration, contracts, and partner communications- Monitor and update task lists to ensur deadlines are met.
Support bookkeeping activities using QuickBooks and other financial software.
Coordinate calendar management for meetings, appointments, and events.
Utilize Microsoft Office and Google Workspace for document creation, spreadsheets, and presentations.
Conduct proofreading of documents to ensure clarity and correctness.
Collaborate with team members to enhance office management processes.
Exhibit strong time management skills to prioritize tasks effectively.
Qualifications
Proven experience in an office environment with clerical responsibilities.
Strong organizational skills with the ability to multitask efficiently.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.
Experience with QuickBooks or similar accounting software is preferred.
Bilingual candidates are highly desirable for effective communication with diverse clients.
Previous experience as a dental receptionist or medical receptionist is a plus.
Excellent typing skills with a focus on accuracy in data entry tasks.
Demonstrated customer service experience with a friendly demeanor.
Ability to work independently as well as collaboratively within a team setting.
Strong computer literacy with familiarity in various office technologies.
