The Operations & Clinical Manager serves as the central leadership bridge between clinical, administrative, and front-desk teams. This individual ensures that all business functions -- from scheduling and authorizations to clinician productivity and parent satisfaction -- are streamlined, efficient, and aligned with Kidology's mission.
This person is empowered to audit, observe, and take corrective action in real time. They must be data-driven, assertive, and passionate about maintaining high standards of care and operational excellence.
Essentially: this is the CEO when she is not present, with eyes and ears everywhere -- someone who manages people, processes, and performance with energy, precision, and accountability.Must have experience in managing teams and accountability Must understand KPI's, data analytics, and reporting

CORE RESPONSIBILITIES

Leadership & Oversight



Supervise and support all hourly and salaried team members, including therapists, front desk, and administrative staff.


Conduct weekly walkthroughs and audits across both offices (schedule adherence, supplies, client experience).


Lead and mentor clinical leads; ensure accountability to department KPIs.


Identify performance gaps, provide coaching, and escalate issues as needed.


Maintain high staff morale, communication, and engagement through consistent check-ins and feedback.

Operations & Efficiency



Oversee scheduling, attendance, and productivity to ensure maximum billable hours.


Ensure accuracy and timeliness of insurance authorizations, documentation, and billing processes.


Audit front desk communication, phone etiquette, and professionalism.


Review supply inventory and procurement; manage cost control measures.


Identify workflow bottlenecks and implement process improvements.

Data & Financial Management



Monitor clinician productivity reports, revenue per hour, and no-show trends.


Track and present weekly metrics to leadership team: attendance, cancellations, scheduling ratios, and documentation timeliness.


Collaborate with leadership to maintain department profitability and meet marginal goals.


Participate in quarterly financial reviews and strategy planning tied to profit payout structure.

REQUIRED QUALIFICATIONS



Bachelor's or Master's in Business, Healthcare Administration, or related field.


3+ years of experience in management or leadership within a healthcare, corporate, or therapy setting.


Understanding of insurance authorization and billing processes.


Strong leadership and mentoring skills; able to motivate and manage diverse teams.


Exceptional communication, organizational, and problem-solving abilities.


Proficient in Microsoft Office/Google Suite and practice management systems.

COMPENSATION STRUCTURE

Base Salary: starting at 65,000- 75,000 for the right fit and experience level


Profit Line Payout:

Tied to operational and financial performance of both clinics (over time)

Bonus Potential:

Quarterly based on KPI completion and margin results
