Position Summary
The
Operations Associate
provides business operations and project support by working cross-functionally across the organization to ensure efficient and effective daily operations. This role assists the CFO and executive leadership team in improving business systems and processes, supporting HR and accounting functions, and maintaining smooth administrative operations. The Operations Associate supports the CFO, Director of Operations, HR, CEO, and Business Development Manager, playing a key role in driving organizational effectiveness and supporting business growth.
Essential Duties and Responsibilities
Operations & Administration
Develops, establishes, and leads operational processes/procedures and identifies opportunities to improve efficiency and effectiveness.
Prepares and maintains training manuals, standard operating procedures (SOPs), and company documents.
Performs clerical and administrative tasks to support office operations and leadership.
Assists with payroll processing, timesheet tracking, and expense reporting in coordination with the CFO.
Oversees procurement of office essentials, including supplies, uniforms, business cards, and other materials.
Stocks and maintains the breakroom, keeps spaces organized, and cares for office plants.
Troubleshoots issues staff may have related to telecommunications, copiers, printers, AV equipment, or phone system resets.
Coordinates logistics for meetings, events, and internal communications.
Develops, reviews, and improves administrative systems, policies, and procedures.
Project & Business Support
Provides support for operational and business initiatives.
Prepare creative and professional presentations for business development efforts in compliance with brand standards.
Collaborates and works with external partners including government agencies, community organizations, and vendors.
Assists with preparing required monthly, quarterly, and annual reports.
Updates company social media accounts, website content, capability statements, and marketing materials.
Utilizes Microsoft Excel, PowerPoint, Word, Outlook, and Canva to create and maintain operational reports, data trackers, and presentations.
Human Resources & Executive Support
Supports HR functions by posting job advertisements, screening applicants, coordinating interviews, and assisting with onboarding.
Help onboard with new staff.
Provides direct administrative support to the CEO, CFO, Human Resources, Director of Operations and The Business Development Manager and other members of the executive leadership team.
General Responsibilities
Collaborate with internal teams to ensure effective workflow and communication across departments.
Identifies opportunities to streamline and improve office and administrative procedures.
Performs other duties as assigned.
Qualifications
Bachelor's degree plus three (3) or more years of experience in business operations, project management, or a related field.
Strong customer service and presentation skills.
Excellent interpersonal, organizational, verbal, and written communication skills.
Demonstrated professionalism, flexibility, sound judgment, attention to detail, and commitment to teamwork.
Advanced proficiency in Microsoft Excel, PowerPoint, Word, and Outlook.
Proficiency in Canva and other basic design tools required.
Reliable transportation and willingness to travel between office and job sites.
Must pass a criminal background check.
Highly organized, deadline-driven, and able to manage multiple priorities simultaneously.

Physical Demands and Work Environment
Work is primarily performed in an office environment with periodic visits to field or construction sites. On-site visits may involve exposure to weather conditions, equipment, and environmental elements such as dust or fumes. Proper PPE is required. Employees must have sufficient mobility to walk, stand, sit, bend, climb stairs, and lift up to 25 pounds as needed.
