About the Role
You'll be the steady hand that keeps the CEO, projects, and clients moving forward. In this small, high-touch firm, every detail matters. You'll make sure nothing falls through the cracks. You will "WOW" our clients with your personality and efficiency.
Operations & Leadership
Support the CEO in translating vision into actionable steps
Lead regular team check-ins to track priorities and progress
Maintain accurate records, reports, and workflows
Manage the CEO's calendar and coordinate meetings with clients
Keep systems, processes, and databases current and organized
Client Experience
Track client requests in the CRM and ensure timely completion
Liaise with custodians and third parties for account activity
Coordinate account openings, transfers, and money movement
Prepare and manage electronic forms and e-signatures
Maintain and organize client files and planning software
Communicate directly with clients professionally, promptly, and warmly
What You Need to Bring
2+ years of Customer Service, Executive Assistance, and Office Administration experience in a professional firm is required
Superior skills in Microsoft Office/365, social media, and general fluency with technology
Experience in financial services is highly desired; and familiarity with tools like Wealthbox, eMoney, PreciseFP, QuickBooks, and Calendly would be a plus
High emotional intelligence with a service-first mindset
Excellent communication, both written and verbal
Strong organizational skills and sound judgment
Attuned to privacy protections and potential fraud
Ability to pass a background and credit check and complete a Kolbe and/or DISC assessment
