We are seeking a highly organized and proactive Operations Assistant to support our team in managing daily office functions and project coordination. This role is vital in ensuring smooth operations across various departments, providing executive administrative support, and maintaining efficient office workflows. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with office technology and software tools.
Duties
Provide comprehensive administrative support to executives and team members, including calendar management and scheduling appointments using Microsoft Outlook Calendar and Google Workspace.
Assist with event planning and coordination for company meetings, seminars, and special events.
Manage bookkeeping tasks using QuickBooks, including data entry, invoicing, and expense tracking.
Handle phone etiquette for multi-line phone systems, screen calls, and direct inquiries appropriately.
Perform clerical duties such as filing, data entry, proofreading documents, transcription, and maintaining organized digital and physical files.
Support office management tasks including front desk responsibilities, customer service interactions, and general administrative support.
Utilize Microsoft Office Suite (Word, Excel, PowerPoint) to prepare reports, presentations, and correspondence.
Manage project coordination activities to ensure deadlines are met and deliverables are completed efficiently.
Use DocuSign for electronic signatures and document management as needed.
Maintain office supplies inventory and assist with general office organization to promote a productive work environment.
Requirements
Prior experience in office administration or executive support roles is preferred.
Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
Excellent typing skills along with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Docs, Sheets), and familiarity with Microsoft Outlook Calendar.
Experience with QuickBooks for bookkeeping tasks is highly desirable.
Exceptional phone etiquette skills for handling multi-line phone systems professionally.
Demonstrated attention to detail in proofreading, transcription, data entry, and filing tasks.
Proven ability to manage calendar schedules efficiently and coordinate multiple projects simultaneously.
Strong computer literacy across various platforms and software tools relevant to office management.
Excellent communication skills--both written and verbal--and a professional demeanor suitable for customer service interactions.
Previous experience as a personal assistant or in administrative roles is advantageous but not required. Pay: From $18.00 per hour
