We are seeking a highly organized and proactive

Onsite HVAC Dispatcher

to join our service team at Reliable Heating & Air. In this essential role, you will coordinate and manage the day-to-day scheduling and dispatching of our HVAC service technicians, ensuring jobs are assigned efficiently and customers receive timely, high-quality service.

Your strong communication skills, attention to detail, and experience with tools like

Service Titan

will help keep our team running smoothly. You'll play a key part in organizing tech routes, supporting field technicians, and maintaining a steady workflow throughout the day. This position puts you at the center of our service operations--helping ensure customers are taken care of, technicians are supported, and our overall service delivery stays on track.

Duties



Dispatch and coordinate HVAC service technicians efficiently, ensuring timely arrival to customer appointments and balanced daily workloads. Serve as the primary point of contact for technician scheduling and day-to-day field operations. Use Service Titan or similar field service management software to assign jobs, update work orders, track technician progress, and maintain accurate service documentation. Monitor technician locations and job statuses to optimize routing, minimize drive time, and respond quickly to schedule changes or urgent service needs. Debrief service technicians after each job to confirm accurate notes, proper documentation, and clear next steps. Assist with parts ordering and tracking, coordinating with suppliers and ensuring technicians have required materials. Collect payments on open invoices and ensure all billing information is updated in ServiceTitan. Provide backup support for the main answering service line, answering customer questions and routing calls as needed. Manage daily workflow by reviewing maintenance schedules, emergency requests, and installation needs while following company processes. Support fleet and technician operations by monitoring vehicle availability, reporting maintenance needs, and keeping schedules organized. Assist in reviewing service data to improve scheduling efficiency, customer service, and technician productivity. Ensure all dispatching activities follow safety guidelines, company policies, and HVAC industry best practices.

Requirements



HVAC dispatching experience required Proficiency in Service Titan CRM Strong communication and multitasking skills Reliable, detail-oriented, and customer-focused Strong analysis skills with the ability to interpret GPS/GIS data for route optimization and problem-solving. Excellent communication skills paired with professional phone etiquette; capable of managing multi-line phone systems efficiently. Basic understanding of transportation regulations and safety standards. Ability to work effectively in a fast-paced environment while maintaining professionalism under pressure.
