Salary:
Based on experience, designations, size of community, property type and number of employees supervised.
SKILLS, KNOWLEDGE AND PERSONAL CHARACTERISTICS:
The following attributes are desirable for job success: experience in managing multi-family properties, certification as a resident manager (ARM, CAM, CPM, etc.), ability to supervise staff, organizational skills, ability to communicate effectively, safety conscious, desire to maintain and gain knowledge, stay current in use of computer programs and technology, detail oriented, ability to work well under pressure, self- motivation and self-direction, ability to work with/without direct supervision and the ability to develop a team through mentoring and coaching while remaining a positive team leader.
SUMMARY OF FUNCTIONS:
Supervisory position with authority, responsibility, and accountability to plan, implement and monitor operations, profitability, quality service, marketing and resident relations of the property, while maintaining the company investment. Utilize management skills to train, motivate, support & empower team members to reach their goals as well as property and company goals. Uses knowledge of employees to show appreciation and promote positive work environment.
MAJOR DUTIES AND RESPONSIBILITIES
Duties include, but are not limited to:
Promote a professional environment while creating an atmosphere of cooperation, enthusiasm, teamwork, and positive customer relations.
Conduct daily training and coaching, in a positive manor, with the intent to promote.
Inspire and encourage critical thinking and problem solving among team members.
Prioritize, assign, schedule, supervise and direct the daily activities of all on-site staff.
Prioritize, assign and monitor service requests, make-ready priorities and construction projects.
Complete performance appraisals as scheduled.
Disciplinary action, as needed, per Builders, Inc. standards.
Personally deliver and collect daily distribution folders by 10 a.m., unless the property is assigned to the couriers route.
Responsibility of budgetary knowledge, awareness and compliance.
Complete annual property inspections and create a property budget.
Achieve budget goals regarding occupancy, expenses, and TOI.
Obtain purchase orders per policy and notifies supervisor of any expense overages.
Supervise management of office supplies and works with maintenance personnel to manage maintenance supplies.
Negotiate with vendors and contractors to achieve best possible prices.
Ensure all invoices are processed/posted within 3-5 days of receiving, depending on invoice type, and per company standards.
Control petty cash fund for property needs.
Reviews financial statements monthly and reports any variance from approved budget.
Complete weekly, monthly and annual reports timely and per policy.
Sets and reports property and team goals in a timely manner.
Stay abreast of current policies and guidelines, maintain policy manual as changes are effected, review policies with employees to insure compliance to company standards.
Finalize new resident selection in accordance with the Builders, Inc. Statement of Rental Policy.
Collect rent, create applicable resident charges, monthly review of resident ledgers and rent rolls to maintain accuracy, report inaccurate accounts and provide solution through monthly reports.
Ensure resident files are kept in an and up-to-date manner.
Promote and supervise effective marketing and communications, including advising management of pertinent issues as related to the community, market, or other respective issues.
Review and supervise advertising and marketing plan to achieve the best image of the community as well as delegate tasks to ensure best physical presentation of the property.
Conduct quarterly market surveys, review with leasing staff, send updated rent suggestions and implementation plan to property supervisor.
Show and lease apartments, handle telephone inquiries to support leasing staff.
Extensive knowledge of rental agreement and addendums. Proficiency in summarizing all lease documents.
Supervise effective Resident Retention program.
Maintain resident relations and monthly communications regarding and specific to your community.
Follow-up on prospect and leasing experience, annual renewal proficiency and customer service provided by team members.
Deal with complaints and problems relating to service and lease provisions.
Supervise and approve the Lease Renewal program to ensure community success.
Perform effective annual apartment inspections of each unit, including Home Visits with each renewal lease to support leasing staff.
Prepare legal action for eviction when necessary.
Experience with or knowledge of managing a Tax Credit Community.
ORGANIZATIONAL RELATIONSHIPS:
Reports directly to the Apartment Division Vice President. Trains and supervises on-site personnel using positive reinforcement. Works with administrative division staff, other site managers, other Builders, Inc. employees, outside vendors and service providers.
OTHER REQUIREMENTS:
Hours of Work: Basic schedule includes, but is not limited to, coverage of office from 8:00a.m. to 5:00p.m. with a 1-hour lunch break, Monday through Friday, and a shared on-call rotation that is schedule for every 3rd week. Must be on call "24 hours". This is not a 40 hour per week job!!
EDUCATION:
Two years of college, or related business experience.
PHYSICAL REQUIREMENTS:
Must be able to perform the physical functions of the position, which may include, but are not limited to: ability to walk property, including 4 flights of stairs, to complete physical inspections, deliver resident communications, and show apartments. Be able to effectively communicate with residents, staff, supervisors, vendors, etc. Must be able to lift a minimum of 30 lbs.
TRANSPORTATION REQUIREMENTS:
Must have a reliable transportation to perform various management errands and tasks. Must be bondable, have a valid Driver's License and proof of liability insurance.
