As an Office Specialist I, you'll be the backbone of our administrative operations, ensuring smooth and efficient workflows that directly contribute to patient care and recovery.
Principal Duties
The Maple Unit Secretary is responsible for:
Provide office support to a variety of Maple unit staff.
Transcribe Dr. notes, orders, meetings, records, etc.(In an accurate and timely manner).
Maintain calendars, plan, and assist with meetings, events, conferences, etc.
Receive calls and visitors, relay messages, provide information.
Prepare and/or process documents locating and assembling records and information and preparing and generating recurring reports.
Write or draft correspondence, reports, documents and/or other written materials.
Maintain files and databases.
Copies and collate documents, send emails and perform similar office tasks.
Receives calls and/or greets visitors, takes and relays messages, responds to requests for information; provides information or directs caller/visitor to appropriate individuals.
Process a variety of agency documents by reviewing for accuracy and completeness, updating information, evaluating against policy, and helping ensure compliance with professional standards.
other tasks which may include, but are not limited to: performing basic accounting functions, maintaining calendars, schedules and coordinating appointments, in-person and online meetings, training, facilities and other activities as well as ordering, receiving and storing materials, and/or supplies as needed.
Perform general office duties.
The Ideal Candidate
The person we are seeking for this position has:
Advanced organizational and time-management ability.
Beginner-level knowledge of medical and/or mental health terminology.
Excellent computer skills, including Microsoft Office, Google Office features (calendar, email, sheets, docs) and is a competent typist at least 60 wpm.
Strong English language skills, including both written and verbal communication.
Knowledge of applicable laws, rules, regulations and policies/procedures.
The ability to learn and apply policies, procedures, rules and laws to assist the treatment team solve problems in ways that promote the objectives of the hospital.
Is very organized and has a keen eye for attention to detail.
Superior customer service skills.
Has previous office assistant or related work experience.

Typically, the employee may sit comfortably to perform the work; however, there may be some walking; standing; bending; carrying light items; driving an automobile, etc. Special physical demands are not required to perform the work.
