OFFICE OPERATIONS MANAGER

JOB SUMMARY

Ensure optimal operations for the organization and implement preventative measures for potential problems. Implement problems and procedures. Coordinate and maintain relationships with customers, headquarters and service providers such as tax consulting as well as payroll.

SALARY

$70-$80K

RESPONSIBILITIES

  • Represent centrotherm professionally and conduct effective and professional communication with customers.
  • Build customer relationship: Maximize customer satisfaction by working closely with customer contacts
  • Manage commercial order processing from quotation to invoice in collaboration with centrotherm headquarters
  • Preparation and tracking of quotations in close coordination with the sales department HQ
  • Complete independent commercial order processing as well as processing on schedule (availability control, order confirmations, delivery date tracking in cooperation with the corresponding in-house departments, correspondence, delivery notes, shipping documents, invoices)
  • Checking and clarifying all order-related data from a commercial point of view and maintaining customer-relevant information
  • Organize domestic part logistics from headquarter and US warehouse to customer
  • Manage books of accounts and ensuring accurate financial accounting
  • Preparing, receiving, and processing invoices and statements
  • Tracking payments and ensuring accuracy of paid accounts, following up on outstanding payments
  • Preparing reports on financial status
  • Contact for external tax advisor
  • Assist in the recruitment of new US colleagues
  • Organization of bi-monthly payroll with ADP incl. Expense-Reports
  • General Office Organization
  • Flexibility to visit Germany for meeting purposes at centrotherm headquarters
QUALIFICATIONS
  • Preferred skills and qualifications: Bachelor\'s degree or equivalent
  • Three or more years of office management experience.
  • At least 3 years of relevant, hands-on accounting experience.
  • Good to excellent knowledge of Microsoft Office applications, including Excel and ideally Quick-Books, or alternatively another accounting system
  • Advanced knowledge of commercial order processing
  • Positive attitude and ability to work independently while being a team player
  • Strong time management and interpersonal skills, high degree of flexibility and excellent multitasking ability
  • Ability to build and maintain good relationships with customers
  • Ability to maintain confidentiality of company information
