We are seeking a highly organized and detail-oriented Office Manager/Billing professional to join our team. This role is essential in ensuring the smooth operation of our office while managing billing processes and administrative tasks. The ideal candidate will possess strong communication and organizational skills, along with a background in office management and billing practices. This position requires a proactive individual who can effectively supervise staff, manage schedules, and maintain vendor relationships.
Responsibilities
Oversee daily office operations, ensuring efficiency and effectiveness in all administrative functions.
Manage billing processes, including invoicing, payment processing, and accounts receivable.
Supervise office staff, providing guidance and support in their daily tasks.
Coordinate event planning for company functions and meetings.
Maintain accurate records through effective bookkeeping practices.
Handle human resources functions, including payroll management and employee training & development.
Manage vendor relationships to ensure timely service delivery and compliance with contracts.
Implement budgetary controls to monitor expenses and optimize resource allocation.
Utilize QuickBooks for financial tracking and reporting.
Ensure proper filing systems are maintained for easy access to documents.
Provide front desk support, including handling multi-line phone systems and calendar management.
Foster a positive team environment through effective team management and communication.
Requirements
Proven experience in office management or administrative roles, preferably within a medical office setting.
Strong supervisory experience with the ability to lead a team effectively.
Proficiency in QuickBooks or similar accounting software is highly desirable.
Excellent organizational skills with the ability to manage multiple tasks simultaneously.
Strong communication skills, both verbal and written, with a focus on phone etiquette.
Experience in schedule management, vendor management, and budgeting practices.
Familiarity with clerical duties such as filing, data entry, and document preparation.
Ability to train staff on office procedures and best practices.
A proactive approach to problem-solving with strong attention to detail.
