Job Summary:
The Office Manager is responsible for the day-to-day operations of Central Lutheran Church (CLC) performing a wide range of administrative, business, communication, and Pastor and Church Council support-related tasks, establishing and maintaining procedures and systems that support CLC policies and strategic initiatives in order to ensure organizational efficiency and effectiveness.
Essential Functions
Maintains and organizes all congregational files and records, ensuring church register, membership files, and database information is current. Assists with preparation of church reports and statistical information. Serves as organizational center for ministries.
Ensures office operations are organized and filing and retention systems provide security, integrity, and confidentiality of data. Keeps all monthly reports on file.
Provides administrative support to Pastor and Congregational Council; assembles and assists in the preparation of monthly Congregational Council packets and the Annual Congregational Report; prepares and mails correspondence as requested.
Prepares, proofs, and prints weekly worship bulletins, bulletins for special services, leader bulletins, and other communications as requested. Prepares certificates as needed for baptisms, confirmations, and membership. Creates, proofs, and distributes monthly Newsletter.
Schedules and coordinates building and property use requested by committees and ministries of CLC and by approved outside groups. Ensures rooms and other property are returned to original configurations after use. Publishes and keeps property use calendar current. Handles emergency property issues when time is of the essence, following up with the Property Committee. Coordinates with Property Committee regarding scheduling of maintenance services. Processes Property Use Applications by outside groups requesting use of facilities.
Maintains office supplies and equipment. Orders office supplies as needed, and items requested by Council, Pastor, Ministry and Committee leads as budgeted or otherwise authorized.
Handles mail, phone calls, emails, in-person queries, correspondence, etc., in a timely and professional manner, screening and directing messages as necessary to appropriate parties. Demonstrates respect in all interactions and nurtures a welcoming environment.
In cooperation with bookkeeper, supports the work of the Church Treasurer, performing financial data entry and other related tasks. Bookkeeping responsibilities may be increased based on qualifications and experience.
Other Responsibilities
Assists parishioners with inquiries, provides general support. Supervises office volunteers.
Keeps Office Information Manual current.
Attends staff meetings as requested.
Other duties as assigned by Congregational Council or Pastor.
Minimum Qualifications
High School Diploma or G.E.D. Associate degree in business or related field preferred.
2 Years office experience.
Successfully passes background check
Physical Requirements
Able to switch between activities easily and move freely between different areas (different surfaces, use of stairs and step stools). Able to use current office equipment.
Able to lift fifty pounds

Has a general understanding of the Christian church and is able to acquire specific knowledge about Lutheran liturgy required to proficiently perform the essential functions of the job. Demonstrated written communication skills.
