The Officer Manager is responsible for providing comprehensive administrative support, ensuring the smooth and efficient operation of daily office tasks. This includes managing office resources, scheduling meetings, maintaining records, coordinating communications, and supporting various teams and departments within the organization.
Responsibilities
Office Management:
Assist with managing a clean, organized and stocked office at requested sites.
Manage office supplies and ensure they are stocked at requested sites.
Coordinate and maintain the office environment to ensure a safe and efficient workspace.
Organize office systems and procedures to optimize productivity.
Scheduling and Coordination:
Schedule meetings, consults, and events for the owner and providers as needed.
Organize and prepare for meetings, including booking rooms and arranging necessary equipment.
Communicate schedules and provide reminders for upcoming events or tasks.
Communication:
Handle phone calls, emails, and other communication on behalf of the team or owner.
Prepare and send correspondence, voice memos, and other documents as needed.
Liaise with clients, vendors, and internal teams to ensure clear communication.
Record Keeping:
Maintain and organize company records, files, and documents.
Ensure that all records are accurate and up to date, complying with legal and organizational requirements.
Handle confidential information in a discreet and professional manner.
Data Entry and Reporting:
Input data into various systems and databases.
Generate reports, track progress, and assist with data analysis as needed.
Support financial administration, such as invoicing and tracking expenses.
Marketing:
Assist with social media planning and posting.
Manage and plan clinic marketing and gathering events.
Maintain and organize the clinic website.
Support Functions:
Provide administrative support to other departments or teams as necessary.
Assist with HR-related tasks, such as onboarding new employees, processing payroll, or organizing training.
Manage insurance claim submission and communicating outstanding rejection/denials with providers to ensure compliance with insurance contracts.
Help with credentialing process of new employees, as well as leading the monthly billing consult.
Problem-Solving:
Address any administrative issues and resolve them promptly.
Identify areas for improvement and suggest more efficient ways of handling administrative tasks.
Qualifications
Prior knowledge of the insurance and utilization review process
Experience managing numerous office sites.
Experience multitasking and creating systems to stay organized and help track clinic needs.
Position Details and Benefits
Part-time at 15-20 hours per week
