JOB SUMMARY



Reporting to the CEO on an interim basis, the Office Manager is responsible for ensuring the effective daily operations of YWCA Northeast Kansas through strong administrative coordination, staff supervision, and facility oversight. This position manages office systems, supports organizational communication and recordkeeping, and oversees front desk and janitorial staff or contractors to maintain a welcoming, safe, and trauma-informed environment. The Office Manager upholds high standards of professionalism, teamwork, and cultural responsiveness, contributing to the smooth operation of the agency and advancing the YWCA's mission of eliminating racism, empowering women, and promoting peace, justice, freedom, and dignity for all.

RESPONSIBILITIES



Office & Administrative Management [or Operations]

Oversees day-to-day administrative operations and ensures the office runs efficiently and effectively. Maintains office systems including supplies, equipment, technology coordination, and recordkeeping. Supports scheduling and logistics for meetings, trainings, and events; assists with communications and hospitality for visitors. Serves as point of contact for vendors, maintenance, and service providers at the Main Office facility. Answers the telephone or hotline, provides information and assistance, or otherwise routes callers to appropriate staff. Accepts donations, provides donors with appropriate paperwork, and maintains donations as time permits. Performs data entry for client and staff services using database software. Files paperwork. Keeps track of monthly activity records.

Supervision & Facilities Management

Supervises front desk staff to ensure consistent, trauma-informed, and client-centered customer service. Manages scheduling, coverage, and training for reception area operations, including phone, visitor check-in, mail, and general inquiries. Supervises janitorial staff or contractors to ensure a clean, safe, and well-maintained facility; coordinate work schedules and performance expectations. Fosters a positive, inclusive, and respectful workplace culture among support staff teams. Monitors facility needs and coordinates repairs, maintenance, and safety inspections as needed. Manages building access, keys, and security systems in collaboration with leadership. Ensures compliance with health, safety, and accessibility standards.

Advocacy & Client Support

Responds to client inquiries at the front desk or by phone, offering information and referrals. Connects clients with appropriate community resources, internal programs, or emergency services as needed. Enters data, including but not limited to Lethality Assessments, pantry and essential needs provisions documentation, and more into the Osnium database Maintains accurate and confidential client records in accordance with YWCA policies and funder requirements. Collaborates with advocacy, shelter, and program staff to ensure continuity of care for clients. Assists in coordinating intake or screening processes for individuals seeking services.

Other Position Functions

Attends staff and supervision meetings. Completes all timekeeping records as required by funders. Refrains from assuming any duty that is unrelated to and/or interferes with the responsibilities of the position. Develops, promotes, and practices teamwork and open communication in all activities. Advocates, promotes, and practices cultural sensitivity and responsiveness in day-to-day interactions. Other duties as associated by the supervisor and CEO.
