Position Overview
We are seeking an experienced, highly reliable Office Manager to support our operations team and executive leadership. This is a hands-on role for a professional who takes pride in running an office that functions smoothly, accurately, and discreetly.
The ideal candidate has previously supported senior leadership in a detail-driven, professional environment, is comfortable managing multiple priorities without constant oversight, and exercises exceptional judgment with confidential information. This role is critical to the daily effectiveness of our team and requires strong ownership, follow-through, communication skills and a desire to engage with technology.

Key Responsibilities
Office Operations & Administration
Maintain a consistent and dependable work schedule, with the ability to work overtime, while overseeing all administrative functions to ensure efficient daily office operations.
Serve as the first point of contact for visitors, creating a welcoming, polished, and professional office environment.
Manage office supplies and inventory, and maintain vendor relationships, service coordination, and ordering.
Oversee office space planning and infrastructure needs, including workstation setup, internal office moves, and resource coordination.
Must know Microsoft Office, Word, Excel and be an eager learner/user of all things computer.
Executive & Team Support
Provide high-level administrative support to executive leadership, including complex calendar management, meeting coordination, travel arrangements, and proactive scheduling.
Anticipate leadership needs and ensure day-to-day operations run smoothly with minimal friction.
Assist with onboarding new employees, including workspace setup and welcome materials.
Systems, Accuracy & Follow-Through
Manage mail flow (incoming and outgoing), shipping, and document handling with care and accuracy.
Implement, maintain, and improve office procedures, systems, and administrative protocols.
Maintain organized digital and physical filing systems with strict attention to confidentiality and detail.
Track office equipment inventory and coordinate maintenance or replacement as needed.
Culture & Special Projects
Assist with planning and executing internal events such as team-building activities, celebrations, and recognition milestones.
Participate in special projects and additional responsibilities that support leadership and operational goals.
Qualifications & Fit
This role is best suited for someone who:
Has 10+ years of experience as an office manager, senior administrative assistant, or executive assistant in a professional services or similarly structured environment.
Has previously supported senior leadership, grasps that working with leadership and facilitating the smooth running of an office requires the ability and willingness to work overtime, and understands the importance of discretion, accuracy, and judgment.
Is highly organized, proactive, and comfortable managing competing priorities.
Communicates clearly and professionally in both written and verbal settings.
Thrives in a role where trust, accountability, and independence are expected.
Takes pride in keeping systems clean, offices running smoothly, and handling responsibilities correctly the first time.
Compensation
Hourly wage:
$29.00-$32.00, commensurate with experience, reliability, and demonstrated engagement.
