Responsibilities
Supervise and support administrative staff while ensuring smooth daily office operations.
Manage phones, emails, calendars, meeting schedules, and general office communications for project managers and engineers.
Oversee bookkeeping and administrative accounting tasks, including A/P, A/R, invoice processing, time and expense tracking, and basic payroll support.
Coordinate vendor relationships, professional service providers, and office and equipment maintenance.
Maintain organized digital and paper filing systems for project documents, contracts, proposals, and reports.
Assist with the preparation of proposals, reports, and internal tracking spreadsheets as requested by leadership.
Develop and refine office procedures, templates, and workflows to improve efficiency and consistency.
Qualifications
Minimum 3 years of office management or senior administrative experience;
engineering, architecture, or professional services firm experience strongly preferred.
Strong proficiency in Microsoft Office (Word, Excel, Outlook); experience with
QuickBooks
or similar accounting software.
Experience with bookkeeping, billing, and time/expense or project-cost tracking.
Excellent organizational, communication, and problem-solving skills.
Ability to manage multiple priorities, meet deadlines, and maintain confidentiality.
Reliable, detail-oriented, and comfortable working with technical staff and project documentation.
