We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and support our team. The ideal candidate will possess strong administrative, communication, and organizational skills, with experience in office management, bookkeeping, and human resources. This role offers an opportunity to contribute to a dynamic environment where attention to detail and multitasking are essential. The Office Administrator will play a key role in ensuring smooth operations across departments, managing schedules, vendor relationships, and supporting team development.
Duties
Manage calendar scheduling and coordinate appointments for staff and executives
Oversee front desk operations, including multi-line phone systems and visitor management
Handle clerical tasks such as filing, data entry, and maintaining organized records
Assist with bookkeeping, invoicing, and basic accounting using QuickBooks or similar software
Support human resources functions including onboarding, training & development, and employee records management
Coordinate vendor management activities, including procurement and service scheduling
Supervise event planning for company meetings, seminars, or special events
Manage payroll processing and ensure compliance with relevant policies, able to due certified payroll for government projects
Oversee office supply inventory and procurement processes
Support office management tasks to ensure a productive work environment
Provide excellent phone etiquette and communication skills in all interactions
Skills
Proven experience in office administration or office management roles
Strong organizational skills with the ability to prioritize tasks effectively
Excellent communication skills--both verbal and written
Proficiency in QuickBooks Online, calendar management tools
Working with multi-state agencies for tax and business licensing
Experience with bookkeeping, payroll processing, budgeting, and vendor management
Background in human resources functions such as onboarding and training & development
Ability to supervise team members and manage projects efficiently
Familiarity with medical office management is a plus but not required
Demonstrated ability to handle clerical tasks such as filing and front desk responsibilities with professionalism
Strong attention to detail combined with the ability to multitask in a fast-paced environment
Pay: $30.00 - $35.00 per hour
