Duties



Oversee all office operations, including front desk management and multi-line phone systems to ensure seamless communication Manage scheduling and calendar appointments for leadership and team members, coordinating meetings and events with precision Supervise administrative staff, providing training, guidance, and development to foster a motivated team environment Coordinate vendor relationships, including procurement of office supplies and services, ensuring cost-effective solutions Handle bookkeeping tasks such as invoicing, expense tracking, and basic payroll processing using QuickBooks or similar software Organize company events and meetings through detailed planning and execution to promote team engagement Maintain accurate filing systems, medical or general office records, and ensure compliance with organizational policies Support human resources functions including onboarding new employees, managing employee records, and assisting with HR-related inquiries Assist with budgeting processes by monitoring expenses and preparing reports to support financial planning Ensure excellent phone etiquette and communication skills are maintained across all interactions

Requirements



Proven experience in office management or administrative roles within a professional setting Strong supervisory experience with the ability to lead and develop a team effectively Proficiency in QuickBooks for bookkeeping and payroll tasks; familiarity with other financial software is a plus Exceptional organizational skills with keen attention to detail in scheduling, filing, and record-keeping Experience managing vendor relationships and negotiating contracts for office supplies or services Knowledge of human resources practices including onboarding, employee records management, and training & development initiatives Ability to handle multiple priorities efficiently while maintaining professionalism under pressure Excellent communication skills--both verbal and written--and strong phone etiquette skills Familiarity with medical office management or healthcare environments is advantageous but not required Experience managing multi-line phone systems, calendar management tools, and event planning logistics

Pay: $29.92 - $38.04 per hour
