We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. Responsibilities
Oversee all office operations, including front desk management, multi-line phone systems, and visitor reception to ensure a professional and friendly environment.
Manage calendar scheduling for meetings, appointments, and company events, coordinating logistics to maximize efficiency.
Supervise administrative staff and support team members through training, development initiatives, and performance feedback to foster a motivated and skilled workforce.
Coordinate event planning activities such as meetings, company gatherings, or community outreach events to promote engagement and team cohesion.
Handle vendor management by negotiating contracts, overseeing service delivery, and maintaining strong relationships with suppliers for office supplies, maintenance services, and other vendors.
Oversee bookkeeping tasks including invoicing, expense tracking, petty cash management, and basic payroll processing using QuickBooks or similar accounting software.
Assist with human resources functions such as onboarding new employees, maintaining personnel records, managing leave requests, and supporting HR compliance efforts.
Prepare budgets for office expenses and monitor expenditures to ensure cost-effective operations.
Maintain filing systems--both physical and digital--to ensure documents are organized for easy retrieval and compliance purposes.
Support medical or specialized office management needs where applicable by coordinating appointments or managing confidential health-related documentation.
Ensure effective communication across departments through clear email correspondence, internal memos, and team meetings.
Conduct clerical duties such as data entry, document preparation, copying, scanning, and mailing to support daily workflows.
Uphold excellent phone etiquette while managing inquiries from clients or visitors professionally and efficiently.
Perform other office and field job duties as assigned.
Experience
Proven experience in office management or administrative roles within a professional environment.
Supervising experience demonstrating leadership capabilities in managing teams or staff members effectively.
Familiarity with QuickBooks or comparable bookkeeping/accounting software is highly desirable.
Strong skills in schedule management and calendar organization to coordinate multiple priorities seamlessly.
Experience in vendor management--negotiating contracts and maintaining supplier relationships--preferred.
Background in human resources functions such as onboarding processes, payroll support, or employee relations is advantageous.
Knowledge of budgeting processes coupled with bookkeeping expertise to manage office expenses responsibly.
Prior experience in medical office management or specialized administrative roles is a plus but not required.
Excellent communication skills with the ability to handle front desk responsibilities confidently while maintaining professionalism on multi-line phone systems.
