We're looking for a punctual, friendly Front Desk / Customer Service Representative to be the first point of contact for customers at our busy auto body shop. This role handles phone duties, greets and checks in vehicles, documents vehicle condition, communicates status updates, and coordinates with insurance companies. Must be comfortable working in a shop environment. Spanish bilingual is a plus.
Key Responsibilities:
Greet customers in person and by phone; provide professional, courteous service.
Answer and route incoming calls, take messages, schedule appointments, and manage the front-desk calendar.
Check in vehicles: take clear photos (interior/exterior/damage), record vehicle details and customer concerns, and create/maintain digital intake records.
Inspect vehicles outside as needed (including in inclement weather); secure vehicles and keys per shop policy.
Provide timely status updates to customers via phone, text, or email.
Contact insurance companies for estimate approvals, payment status, and claim updates; document communications.
Coordinate with technicians and managers to relay customer needs and scheduling changes.
Maintain a tidy front desk area, paperwork, and digital filing systems.
Process basic payments and invoices as directed.
Required Qualifications:
Excellent customer-service and communication skills; friendly, patient, and professional.
Punctual and reliable with strong organizational skills.
Comfortable working in an auto body shop environment (noise, vehicle movement, occasional outdoor tasks).
Basic computer literacy: email, scheduling/calendar software, digital photo capture/upload, and simple data entry.
Ability to take clear vehicle photos and enter accurate descriptions.
Preferred:
Bilingual in Spanish (spoken and written).
Experience dealing with insurance companies or familiarity with claims/estimate processes.
Physical Requirements:
Frequent standing, walking, and occasional bending/crouching to photograph and inspect vehicles.
Ability to work outside in varied weather conditions for short periods.
Schedule:
Full-time 8am-5pm Mon-Fri. (occasional Saturday if needed)
Compensation:
Competitive hourly wage based on experience.
Pay: $25.00 - $35.00 per hour
Expected hours: 40.0 per week
