Office Manager



Position Summary:



The

Office Manager

is a key supporter responsible for ensuring the smooth daily operations of STACC's office. This position will manage front desk duties, order office supplies, process office-related payments, perform data entry, and provide direct administrative assistance to the Executive Director (ED). The ideal candidate is highly organized, detail-oriented, and able to multitask in a fast-paced nonprofit environment.

Front Desk & Office Management:



Serve as the first point of contact for visitors, clients, and staff, providing a welcoming and professional presence at the front desk. Answer direct phone calls, emails, and inquiries to appropriate staff members. Maintain office organization, including filing systems, shared spaces, and office equipment. Assist in coordinating meetings, taking minutes, and preparing agendas. Support the ED with administrative tasks such as document preparation, correspondence, and travel arrangements

Procurement & Office Expenses:



Order and maintain inventory of office supplies, ensuring cost-effective purchasing. Process office-related payments, including utility bills, subscriptions, and vendor invoices. Track and reconcile office expenses, working with the finance team as needed.

Data Entry & Record-Keeping:



Perform data entry and maintain accurate records in organizational databases. Organize and update files, ensuring confidentiality and compliance with policies. Assist in preparing reports, spreadsheets, and presentations as needed. Maintain employee records, and financial documentation and light bookkeeping.

Qualifications & Skills:



Prior experience in administrative support, office management, or nonprofit operations. Strong organizational and multitasking abilities. Proficiency in Microsoft Office (Word, Excel, Outlook) and data entry systems. QuickBooks Online experience. Excellent communication and interpersonal skills. Ability to work independently and as part of a team.

Salary: $30,000
