The Office Administrator will act as Office Manager to the Pastor; perform reasonable and defined administrative services as time provides for officers of the congregation. This person will be responsible for the front office and the reception area, both in appearance and management. The Office Manager will act as a general information provider for both staff and congregation and will manage and help to facilitate inter-office and congregational communications. Loyalty to the Pastor, staff, and elected leaders of the congregation is expected. A part of the loyalty is confidentiality. Further, this person shall be committed to good human relations skills. This person should be flexible, expecting emergencies, pressure, crises, and interruptions. Ability to respond with calmness, intelligence and a sense of humor is crucial.

Specific Duties:
Daily
Serving as receptionist, maintain welcoming atmosphere in front office and reception area; answer phones and maintain regular office hours, locking and unlocking facilities when necessary
Manage typical office communications for Pastor, staff, and others; Perform document management and maintenance; File minutes, documents and copies of work performed both on computer and hard copies to filing cabinets
Maintain the master calendar of church events and track schedules of events and staff
Perform agreed upon secretarial tasks for the Pastor, staff, and volunteer leaders.
Send out prayer chain requests by email;
Weekly
Prepare worship bulletins for all worship services
Email bulletins to home-bound, prepare/email reminder to volunteers assisting with worship
Prepare, maintain and update list of prayer concerns
Update the church website and Facebook site as needed (sermons, calendar changes, etc.)
Perform bookkeeping tasks: manage checkbooks, write checks,
Coordinate the Simply Giving Program through Vanco - keep track of statements and all correspondence and give information to Financial Secretary.

Prepare certain documents for Boards
Periodic Duties
Fill out baptismal and confirmation certificates;
Compile vital statistics and maintain church records as per current practices;
Assemble and print semi-annual reports;
Prepare and submit ELCA annual report;
Manage publicity and facility use requests
Ensure that all office equipment is operating properly; contact necessary people for technology issues;
Prepare and mail congregational communications as needed;
New members: o Compile packet of information for new member's classes; o Arrange for photos and bios, print and assemble new member's board, set-up o and print handouts to be included in church directory; o Order church offering envelopes, make adjustments to Vanco on-line giving o Request and send letters of transfer
Deaths: o Organize and communicate with all parties when a funeral is going to be held o without funeral home involvement; o Prepare and print funeral bulletins; o Update church records as necessary; o Send out memorial thank you notes to families and donors;
Order and maintain proper inventories of office
Other duties as may be assigned.
Qualifications and Skills:
2+ years' clerical experience
Experience in recordkeeping and data processing preferred
Knowledge of Microsoft Office Suite desired, Microsoft Publisher and Quickbooks strongly preferred
Able to work independently
Friendly and professional demeanor
Exceptional written and verbal communication skills
This is currently a 20-25 hour per week position over the course of 4 to 5 weekdays per week. Hours may be more based on church activities, funerals, etc.
The current compensation is $18-$20 per hour. Seven prorated holidays are included (New Year's Day, Easter Monday, Memorial Day, July 4, Labor Day, Thanksgiving, and Christmas). Holidays falling on a weekend or a usual day off result in another day off. Prorated Personal Time Off of ten days is available after 90 days and must be used within the calendar year.
