, we help children with autism build confidence and independence through compassionate, evidence-based care. Our Office Manager is the operational anchor of the clinic--ensuring families feel supported, clinicians have what they need, and daily workflow runs smoothly.

Fayetteville, NC

clinic to oversee operations, client intake, scheduling, communication, and day-to-day coordination.

Reports To:

Clinical Director

Compensation:

$40,000-$45,000/year

(based on experience)

ResponsibilitiesAdministrative & Operational Responsibilities



Oversee daily office operations to maintain smooth, efficient workflow Manage office supplies, equipment, and inventory Maintain organized records, including staff schedules, inventory, and compliance documentation Support new staff onboarding by assisting with schedule coordination and shadows Monitor staff attendance and report coverage concerns to the Clinical Director Address facility and maintenance needs; ensure clean, organized workspaces

Client Intake & Coordination



Manage the full intake process for new clients Communicate with families about paperwork, requirements, and next steps Ensure client documentation is accurately completed and maintained Coordinate with the Clinical Director to schedule initial assessments Act as the primary administrative point of contact for parents and caregivers

Scheduling & Session Coordination



Manage client scheduling to optimize therapy hours and minimize disruptions Coordinate with families and staff to maintain consistent attendance Monitor staff availability and adjust schedules as needed Communicate schedule updates, cancellations, and client changes through Teams and client scheduling threads Support client check-in and check-out to ensure smooth transitions

Maintaining a Clean & Organized Clinic



Ensure therapy rooms, offices, and common spaces remain clean and well-organized Enforce cleaning protocols and coordinate with staff to maintain sanitary environments Restock supplies (cleaning items, paper goods, therapy materials) Report maintenance or safety concerns to appropriate personnel, copying the Clinical Director to ensure follow-through

Communication & Customer Service



Serve as the main administrative contact for families and staff Direct concerns to the appropriate team member and follow up for resolution Deliver professional, timely, and compassionate communication Escalate concerns to the Clinical Director when necessary Maintain strict confidentiality and HIPAA compliance

General Office Leadership



Act as a liaison between clinical staff, administrative teams, and leadership Promote a positive, professional work environment Identify operational challenges and recommend solutions Participate in team meetings, initiatives, and professional development

QualificationsRequired:



High school diploma or equivalent Experience in office management, administration, or operational coordination Strong communication, organization, and customer service skills Ability to multitask and prioritize in a fast-paced clinical environment Proficiency with Microsoft Office and general administrative systems

Preferred:



Experience in healthcare, behavioral health, ABA, or related fields Experience with client intake, scheduling, or front-office coordination Familiarity with HIPAA and healthcare documentation standards
