Office Manager
to own the day-to-day operations of our remodeling business.

You'll be the hub of our office, managing client communication, scheduling, job paperwork, and financial admin. You'll also help build and refine our SOPs so we scale smoothly. You'll work closely with the owner, our project manager, clients, vendors, and trade partners.
Responsibilities
Answer phones/emails and greet visitors; be the first point of contact
Onboard new clients into Buildertrend and guide them through the project journey
Schedule consultations, site visits, and project milestones; send confirmations and follow-ups
Maintain the master schedule with the project manager (subs, deliveries, inspections)
Track project paperwork, permits, change orders, selections, and warranties
Manage AP/AR in QuickBooks Online (create invoices, record payments, pay vendors)
Assist with payroll processing and expense reconciliation
Maintain digital files, contracts, and vendor/partner records; manage the general inbox
Draft and update SOPs, templates, and checklists for repeatable, high-quality execution
Monitor KPIs and prepare weekly owner updates (pipeline, cash flow, schedule, CX notes)
Source office supplies and coordinate basic IT/admin needs
Qualifications
3 or more years in an office management, project coordination, or admin role (construction or home services a plus)
Comfortable with Buildertrend (or similar CRM/PM tool) and QuickBooks Online
Strong calendar/scheduling chops; you keep multiple moving parts aligned
Clear, professional communicator (written and verbal), with a customer-first mindset
Detail-driven and organized; you love clean files, accurate numbers, and on-time follow-through
Process builder: You can turn "how we do it" into documented, repeatable steps
Proficient with Google Workspace or Microsoft 365
Experience coordinating subcontractors, inspections, and material deliveries
Familiarity with payroll workflows and basic job costing
Comfort supporting marketing/admin tasks (light website updates, email campaigns, etc.)
