Job Description

The Office Manager will serve as a key operations leader for Family Legal Advocacy Group (FLAG), directly supporting and supervising the administrative, human-resources, facilities, technology, and client-service support functions of our law firm. This role requires a proactive, organized, high-energy individual who thrives in a dynamic legal-services environment, and who aligns with our mission: to assist families through the most challenging times with empathy, guidance and strong advocacy.

Key Responsibilities



Oversee day-to-day operations of the main office (and coordinate support for satellite locations) including reception, phone systems, mail, office supplies, facilities maintenance, vendor relationships.

Manage and refine administrative workflows (intake, scheduling, billing/payment, file management, client communications) to ensure a smooth, efficient, client-friendly experience.

Serve as HR lead for the office: onboarding/off-boarding staff, maintaining personnel records, coordinating benefits/enrollment, time-keeping, performance review scheduling, and ensuring compliance with employment laws.

Oversee general financial administration in coordination with firm leadership and billing coordinator: budget tracking, expense control, procurement, insurance renewals.

Act as liaison between attorneys, paralegals/support staff, and external providers (IT support, cleaning/maintenance, office supplies vendors).

Maintain and improve office technology systems in partnership with IT: case-management software, document-management, phone system, remote-work support, backups/privacy protocols.

Uphold confidentiality, ethics, and professionalism in all client-facing and internal processes, consistent with the firm's family law focus (divorce, custody, education law, etc.).

Develop and implement policies/procedures to improve operational efficiency and client service -- e.g., standardizing intake checklists, tracking client communications and follow-up, generating operational metrics.

Coordinate special projects: client-event logistics, staff training programs, compliance/changing regulations in family law operations.

Provide direct back-up support for front-desk/reception when needed (greeting clients, answering phones, scheduling consultations, payment processing).

Serve as a positive, professional ambassador for the firm's brand and culture -- internal staff morale, external vendor/client relationships, and uphold the firm value of "families come first."

Qualifications



Bachelor's degree preferred (Business Administration, Management, or related). Equivalent experience (5+ years) in office/operations management in a professional services environment acceptable.

At least 3-5 years of supervisory or lead experience in an office setting (preferably a law firm, consultancy, or similarly regulated, service-oriented business).

Strong familiarity with legal-practice operations (file management, scheduling, billing, client intake) strongly preferred.

Proficient in Microsoft Office Suite, ability to learn/oversee case-management/legal software and cloud-based tools.

Excellent written and verbal communication skills; demonstrated ability to interface with leadership, attorneys, staff, clients and vendors.

Strong organizational skills, attention to detail, ability to manage multiple projects and deadlines simultaneously in a fast-paced environment.

Excellent judgment and professionalism: handling confidential client and firm information, employing discretion, reliability, and ethical behavior.

Demonstrated problem-solving mindset; ability to proactively identify inefficiencies and implement improvements.

Comfort working in a mission-driven environment with emotionally charged client matters (divorce, custody, child-welfare, etc.). An empathetic, client-centered attitude is key.

Ability to work full-time, on-site at the Columbia (or branch) location, with occasional travel between offices if required.

Preferred Skills & Attributes



Prior experience managing multiple office/branch locations.

Experience implementing or managing Clio.

Knowledge of Maryland employment law and vendor/contract management practices.

Familiarity with marketing/branding in professional services (e.g., coordinating external communications, events).

Willingness to be a "hands-on" leader: comfortable doing both strategic and tactical work (from policy planning to front-desk support as needed).

Strong interpersonal skills: supportive leadership of administrative staff, teambuilding, promoting positive culture.

Reporting Structure



The Office Manager reports directly to the Managing Partner. They will also have supervisory responsibility for all administrative/support staff (receptionists, administrative assistants, operations/firm-services roles).

Performance Metrics



Efficient office operation: minimal downtime, vendor/service issues resolved timely, positive staff / client feedback on administrative operations.

Administrative cost control (supplies, vendor contracts, leases) relative to budget.

Staff satisfaction/turnover in administrative/support roles.

Client intake and scheduling cycle time: quick response, minimal delay to attorneys.

Implementation of process improvements: number of policies/procedures updated, workflows improved, measurable gains (e.g., fewer scheduling errors, improved billing turnaround).

Technology uptime and user satisfaction with case-management/office systems.
