Overview

Spine & Stability is seeking an experienced and highly organized

Office Manager

to oversee daily operations across our two multidisciplinary clinics:

Wicker Park Spine & Stability

and

West Loop Spine & Stability

. This role is critical to ensuring smooth clinic operations, exceptional patient experience, and strong coordination among administrative and clinical teams.

The ideal candidate is a proactive leader with a strong background in healthcare operations who thrives in a fast-paced, patient-centered environment. You will serve as the central point of communication between front desk staff, clinical providers, and leadership while supporting the growth and efficiency of both locations.

Key Responsibilities: Clinic Operations & Administration

Oversee

day-to-day operations

for both clinic locations to ensure efficiency, consistency, and compliance Develop, implement, and maintain

standard operating procedures (SOPs)

across front desk, scheduling, billing coordination, and patient flow Ensure smooth

patient scheduling, check-in/check-out, and insurance verification

processes Monitor clinic workflows and proactively identify opportunities to improve efficiency and patient experience
Team Leadership & Management

Manage staff schedules, time-off requests, onboarding, and performance feedback Foster a culture of professionalism, accountability, and patient-centered care Serve as a resource for staff questions regarding policies, procedures, and systems
Financial & Performance Oversight

Support

billing operations

, including charge capture accuracy, insurance follow-up, and coordination with billing partners Monitor key performance indicators (KPIs) such as visit volume, provider utilization, scheduling efficiency, and patient retention Assist with payroll processing, expense tracking, and operational budgeting Identify operational inefficiencies and collaborate with leadership on solutions to support financial sustainability
Patient Experience & Communication

Ensure a high standard of

patient service and communication

across both locations Address patient concerns or escalations professionally and efficiently Oversee patient onboarding processes, including intake forms, consents, and compliance documentation
Compliance & Clinic Standards

Ensure adherence to

HIPAA, OSHA, and healthcare compliance standards

Maintain clinic organization, cleanliness standards, and supply inventory Coordinate with vendors, EHR systems, and service providers as needed
Qualifications

3+ years of experience in

healthcare office management or clinic operations

(multidisciplinary, chiropractic, PT, or medical office preferred) Strong understanding of

healthcare workflows, scheduling, and insurance processes

Proven leadership experience managing administrative teams Excellent organizational, communication, and problem-solving skills Ability to manage multiple locations and prioritize effectively Proficiency with

EHR systems, scheduling software, and Microsoft/Google platforms

High level of professionalism, discretion, and attention to detail
