Oversee daily office operations, including front desk management, multi-line phone systems, and greeting visitors with excellent phone etiquette.
Manage calendar scheduling for team meetings, appointments, and special events, ensuring optimal time management.
Handle bookkeeping duties using QuickBooks or similar software, including invoicing, expense tracking, bank reconciliations, and financial record maintenance.
Coordinate vendor relationships, negotiate contracts, process payments, and ensure timely deliveries of supplies and services.
Supervise administrative staff or team members involved in clerical tasks such as filing, data entry, and document management.
Support human resources functions like onboarding new employees, maintaining personnel records, and assisting with payroll processing.
Assist with event planning for company functions or community outreach activities to foster team spirit and community engagement.
Maintain organized filing systems--both digital and physical--and ensure compliance with record-keeping policies.
Contribute to office management by overseeing supply inventory, maintaining equipment functionality, and implementing process improvements for efficiency.
Proven experience in office management or administrative roles within a professional setting.
Strong bookkeeping skills with proficiency in QuickBooks or comparable accounting software.
Demonstrated supervisory experience managing teams or staff members effectively.
Excellent communication skills--both verbal and written--and professional phone etiquette.
Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
Experience in event planning, vendor management, budgeting, and payroll processing is highly desirable.
Knowledge of human resources practices related to onboarding, employee records management, and training & development initiatives.
Familiarity with medical office management or healthcare-related administrative procedures is a plus but not required.
