We are seeking a highly organized and detail-oriented Office Manager / Bookkeeper to oversee our office operations and financial record-keeping. The ideal candidate will possess strong administrative skills, experience in bookkeeping, and the ability to manage various office functions effectively. This role requires excellent communication and organizational skills, as well as the ability to supervise a team and coordinate with vendors.
Responsibilities
Manage day-to-day office operations, ensuring a smooth workflow and efficient processes.
Oversee bookkeeping tasks, including accounts payable and receivable, payroll processing, and budget management.
Utilize QuickBooks for financial tracking and reporting.
Plan and coordinate events, meetings, and training sessions for staff development.
Supervise office staff, providing guidance and support in their daily tasks.
Handle vendor management, including negotiating contracts and maintaining relationships.
Maintain accurate filing systems for both physical and digital documents.
Manage schedules and calendars for executive staff, ensuring all appointments are organized efficiently.
Provide clerical support as needed, including handling multi-line phone systems and front desk duties.
Assist with human resources functions such as onboarding new employees and maintaining employee records.
Requirements
Proven experience in office management or administrative roles with a focus on bookkeeping.
Proficiency in QuickBooks is essential for managing financial records.
Strong organizational skills with the ability to multitask effectively in a fast-paced environment.
Excellent communication skills, both verbal and written, to interact with team members and vendors professionally.
Experience in event planning is a plus to facilitate company events successfully.
Familiarity with payroll processes, budgeting practices, and general bookkeeping principles is necessary.
Supervisory experience is highly desirable for managing a team effectively.
