We are seeking a dynamic and highly organized Office Manager / Bookkeeper to join our team and help streamline daily operations while maintaining accurate financial records. This vital role combines administrative leadership with financial oversight, ensuring the smooth functioning of our office environment. Responsibilities
Oversee daily office operations, including front desk management, multi-line phone systems, and calendar scheduling for staff and executives
Manage bookkeeping duties using QuickBooks or similar accounting software, including invoicing, expense tracking, bank reconciliations, and financial reporting
Handle payroll processing in collaboration with human resources or payroll providers to ensure timely and accurate employee compensation
Coordinate vendor management activities such as negotiating contracts, processing payments, and maintaining professional relationships
Support event planning efforts for company meetings, training sessions, and community outreach initiatives
Supervise administrative staff and provide training & development opportunities to enhance team performance
Maintain organized filing systems for documents, medical records (if applicable), and other essential records
Assist with budgeting processes by monitoring expenses and preparing financial forecasts
Manage office supplies inventory and procurement to ensure operational efficiency
Implement effective office management practices that promote a productive work environment
Ensure excellent communication through phone etiquette, clear written correspondence, and professional interaction with clients and visitors
Support human resources functions including onboarding new employees, maintaining personnel files, and assisting with HR policies
Qualifications
Proven experience in office management or administrative roles within a professional setting
Strong bookkeeping skills with proficiency in QuickBooks or comparable accounting software
Demonstrated supervising experience with the ability to lead and develop teams effectively
Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment
Knowledge of payroll processing, budgeting, vendor management, and basic financial reporting
Experience in event planning and coordinating meetings or company functions
Familiarity with medical office management or healthcare environments is a plus but not required
Exceptional communication skills--both verbal and written--along with professional phone etiquette
Ability to handle clerical tasks such as filing, data entry, calendar management, and front desk responsibilities confidently
Strong problem-solving skills with a proactive approach to workflow improvements
