We are seeking a highly organized and proactive Office Manager to oversee daily office operations and ensure smooth administrative functions. The ideal candidate will possess strong leadership skills, excellent communication, and a comprehensive understanding of office management processes. This role includes answering phone, scheduling jobs and crew, handling bookkeeping and payroll, and supporting overall office efficiency. Experience in administrative office is preferred, along with proficiency in various management tools and software. The Office Manager will play a key role in fostering a productive work environment and maintaining high standards of organizational excellence.
Responsibilities
Oversee daily office operations and answering phone calls.
Manage scheduling, calendar coordination, and appointment setting for staff and clients
Handle vendor management, and including writing contracts.
Oversee bookkeeping, payroll processing, budgeting, and financial record-keeping using QuickBooks and Jobber.
Assist with human resources functions such as onboarding, employee records management, and compliance
Plan and coordinate company events and meetings to support organizational goals
Maintain accurate records of office supplies, equipment maintenance, and other administrative assets
Ensure adherence to office policies, procedures, and safety protocols
Skills
Proven experience in office management or administrative roles with clerical office background preferred
Strong supervisory experience with team management capabilities
Proficiency in QuickBooks, calendar management tools, and Microsoft office software
Excellent communication skills with professional phone etiquette
Exceptional organizational skills with the ability to prioritize tasks effectively
Experience in event planning, vendor management, budgeting, bookkeeping, human resources, payroll processing, and training & development
Ability to handle complex scheduling and manage multiple projects simultaneously
Demonstrated ability to lead teams and foster a collaborative work environment
Knowledge of office management is a plus
