Overview


We are seeking a dynamic and highly organized Medical Office Manager to lead the daily operations of our busy office environment. This role is vital in ensuring smooth administrative workflows, fostering a productive workplace, and supporting team members across various departments. The ideal candidate will bring energy, excellent communication skills, and a proactive approach to managing office functions, vendor relationships, and team coordination. Your leadership will help create an efficient, welcoming atmosphere that promotes organizational success and employee satisfaction.

Responsibilities



Oversee all administrative functions including clerical tasks, filing systems, and front desk operations to ensure seamless office flow. Manage calendar scheduling for executives and staff, coordinating meetings, appointments, and events with precision. Supervise office staff and coordinate training & development initiatives to enhance team performance. Handle vendor management by negotiating contracts, processing invoices via QuickBooks, and maintaining strong supplier relationships. Organize company events, meetings, and team-building activities to foster a positive work environment. Maintain accurate bookkeeping records, process payroll, and oversee budgeting activities to ensure financial efficiency. Manage human resources functions such as onboarding new employees, maintaining personnel files, and ensuring compliance with policies. Operate multi-line phone systems with professional phone etiquette while managing inquiries effectively. Ensure the office complies with health and safety regulations and maintains a welcoming atmosphere for visitors and staff alike.

Experience



Proven supervising experience in an office or administrative setting with demonstrated leadership capabilities. Extensive office management experience including clerical work, bookkeeping, and calendar management. Familiarity with QuickBooks or similar accounting software for invoicing, payroll processing, and financial tracking. Experience in event planning for corporate meetings or company functions is highly desirable. Strong communication skills with the ability to coordinate multiple tasks efficiently under pressure. Knowledge of human resources practices including onboarding, training & development programs, and employee relations. Prior experience managing vendor relationships and negotiating contracts to optimize costs. Background in medical office management or healthcare administration is a plus but not required.
