We are a small, well-established machine shop located in Avilla, Indiana. Our team is hands-on, detail-oriented, and focused on quality work and long-term customer relationships.
Position Summary
We are seeking a reliable and organized
Office Manager
to handle day-to-day administrative and bookkeeping functions. This role supports shop operations by managing paperwork, customer communication, invoicing, and coordination between the shop floor and customers.
Key Responsibilities
Answer phones, emails, and greet customers
Create and process invoices, purchase orders, and quotes
Manage accounts payable and receivable
Maintain job files, work orders, and customer records
Order office and shop supplies as needed
Coordinate shipping and receiving
Track timecards, payroll support, and basic HR records
Support owner/shop manager with scheduling and reporting
Accounts Payable/Receivable
Qualifications
Previous office management or administrative experience (manufacturing or machine shop preferred)
Basic bookkeeping and invoicing experience
Proficiency with QuickBooks, Excel, and general office software
Strong organization and communication skills
Ability to multitask and work independently.
Familiarity with machining terminology a plus (but willing to train the right person)
