About Us



Freedom Financial Partners is a Twin Cities-based Registered Investment Advisor serving business owners and families. We're a small, professional, and friendly team, and we are looking for an organized, reliable, and warm Office Manager & Administrative Coordinator to help keep our office running smoothly and support our client experience.

Position Summary



This role is the first point of contact for clients and visitors. You'll handle daily office operations, provide administrative support to our advisors, and assist with account service tasks. The ideal candidate is detail-oriented, proactive, and enjoys helping others.

ResponsibilitiesOffice Management & Client Experience



Greet clients and maintain a professional, welcoming office environment Answer and direct calls; manage voicemails and shared inboxes Monitor office supplies, mail, vendors, and facility needs Schedule meetings and prepare conference rooms Coordinate marketing materials for approval and compliance Assist with firm events and internal communications Lead year-end client gifting coordination Update calendars, contact lists, and office systems

Account Services & Firm Support



Assist with onboarding paperwork and custodian forms Support account maintenance and service tasks Assist with compliance, technology, or operations projects Document all interactions and tasks in CRM (Salesforce or similar)

Executive Assistance



Provide light administrative support to Co-Presidents (scheduling, travel, expenses) Assist with occasional personal errands during busy periods Maintain confidentiality and professionalism at all times

Schedule



Monday-Thursday: In office Friday: Remote Occasional additional remote days may be approved based on needs

Qualifications



3+ years of experience in office administration, client service, or executive support Strong communication skills and a warm, professional presence Excellent attention to detail and follow-through Proficiency in Microsoft Office (Outlook, Word, Excel) Experience with CRM tools (Salesforce preferred but not required) Reliable, organized, and able to prioritize multiple tasks
