Job Summary
The Office Coordinator/Dispatcher supports the efficient operation of the Hoquiam/Aberdeen Transportation Cooperative by overseeing daily office and dispatch functions. This position ensures that transportation services run smoothly and safely through effective communication, organization, and coordination. The role contributes to the district's four pillars of
meaningful relationships, engaged learners, adaptive pathways, and community connections
by promoting a culture of professionalism, collaboration, and responsive service.

Meaningful Relationships
Serve as a primary point of contact for staff, students, families, and the public, ensuring courteous and professional communication.
Support the Director of Transportation by providing leadership and guidance to office and dispatch staff.
Maintain positive relationships with drivers, mechanics, and school personnel to ensure safe and efficient service.

Engaged Learners
Maintain accurate records related to student transportation routes, driver certifications, and discipline reports.
Support safe and consistent transportation for all students, contributing to equitable access to learning opportunities.
Provide administrative support to ensure compliance with district and state transportation requirements.

Adaptive Pathways
Coordinate and oversee all aspects of dispatching daily routes, field trips, and extracurricular travel.
Develop, revise, and maintain bus routes using routing software.
Process maintenance work orders, billing, and inventory records with accuracy and timeliness.
Prepare and maintain documentation for budget and financial tracking as directed by the Director of Transportation.
Assist in recruitment, onboarding, and scheduling of substitute drivers as needed.

Community Connections
Serve as a professional representative of the Hoquiam/Aberdeen Transportation Cooperative to schools, parents, and community members.
Communicate schedule changes, route adjustments, and emergency notifications in a timely and effective manner.
Maintain organized and confidential records to support transparency and community trust.

Qualifications
High school diploma or GED equivalent; additional business or administrative coursework preferred.
Minimum three years of experience in office coordination, dispatching, or administrative support with increasing responsibility.
Proficiency in Microsoft Word, Excel, and routing/dispatch software.
Strong organizational, time management, and communication skills.
Ability to type 50 words per minute with accuracy.
Ability to read and interpret maps, routes, and transportation schedules.
Demonstrated ability to lead and train office or support staff.
Flexible and professional approach to daily responsibilities in a dynamic environment.
Ability to maintain confidentiality and handle sensitive information appropriately.
Possess a valid Washington State driver's license; Type II driver's license preferred or ability to obtain.
Current first aid and CPR certification required.
One year of experience in pupil transportation preferred.

Working Conditions
The Office Coordinator/Dispatcher works primarily in an office environment within the Transportation Department, with occasional outdoor exposure during inspections or dispatch duties. The role involves frequent interruptions, shifting priorities, and the need for calm, clear communication in urgent or stressful situations.
Noise levels are moderate, and work may include interactions with staff, students, and community members who are upset or in distress, requiring patience and professionalism.

Essential Functions
Regular, dependable attendance.
Demonstrates sound judgment, courtesy, and tact in all interactions.
Ability to work independently and manage multiple priorities simultaneously.
Ability to stand, walk, reach, grasp, handle, and lift objects up to 24 lbs as needed.
Must be able to train, guide, and provide inservice to staff and substitutes.
Maintains cooperative working relationships with staff, students, and community members.
Salary:
$28.53 - $30.77 per hour
Benefits:
State allocation towards dental, vision, medical insurance, retirement, 9 paid holidays, 10 sick leave days, 3 personal leave days.
Employment is contingent upon successful clearance of a Washington State Patrol, FBI fingerprint criminal history background check, and Sexual Misconduct background check.
