Duties
Manage front desk operations, greeting visitors and directing them appropriately with friendly professionalism
Answer multi-line phone systems promptly, courteously, and efficiently, directing calls or taking messages as needed
Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and financial tracking
Organize and file documents systematically to ensure quick retrieval and compliance with company policies
Support calendar management by scheduling appointments, meetings, and maintaining staff schedules with precision
Assist with office management tasks such as supply inventory, equipment maintenance, and general administrative support
Proofread correspondence, reports, and documents to ensure clarity, accuracy, and professionalism
Requirements
Proven experience in office administration or clerical roles with strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
Familiarity with QuickBooks for bookkeeping and financial recordkeeping
Excellent phone etiquette and experience managing multi-line phone systems
Bilingual abilities are highly desirable to support diverse client needs
Strong typing skills with high accuracy; attention to detail in proofreading documents
Previous experience in customer service or as a receptionist in medical or dental offices is a plus
Demonstrated ability to handle multiple tasks efficiently while maintaining professionalism
Knowledge of office management practices including filing systems, data entry, and calendar management
