We are seeking an Office Assistant to join our team and help keep our business operations running smoothly. The ideal candidate will be a quick learner, organized and proactive. This person will work closely with the VP of Operations, performing administrative and transactional tasks. Key Responsibilities:
Assist with payable and accounts receivable, including entering bills, making payments, issuing customer statements, and processing bank deposits.
Perform data entry, filing, and record maintenance of company documents, particularly time and attendance records.
Greet visitors, ensuring they comply with facility safety procedures and are signed in appropriately.
Manage incoming calls, directing them to the appropriate personnel or department.
Support Human Resource activities, such as onboarding new employees, coordinating training, and maintaining employee records.
Ensure administrative activities follow company SOPs (standard operating procedures).
Maintain supplies inventory and a clean and organized office environment.
Assist with planning and hosting company events.
As needed, support the purchasing and receiving department by printing paperwork, prepping labels, or filing documentation -- no physical material handling required.
Support the management team with special projects, correspondence, and other tasks as required.
Qualifications:
High School diploma or equivalent.
Proven experience as an Office Assistant, Administrative Assistant or similar role.
Proficiency in MS Office (Word, Excel, Outlook).
Experience with QuickBooks Online or other accounting systems preferred.
Excellent organizational and time-management skills.
Strong written and verbal communication skills (English).
Ability to work independently and as part of a team.
Attention to detail and problem-solving skills.
Ability to maintain strict confidentiality with financial, employee, and customer information.
