Overview
We are seeking a detail-oriented and organized Office Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing various administrative tasks. This position requires a proactive individual who can handle multiple responsibilities while maintaining a high level of professionalism and efficiency.
Duties
Answer phones and route calls providing general information to clients and referring questions and issues to appropriate staff or department for further information and problem resolution
Perform data entry tasks with accuracy and attention to detail.
Manage customer orders and ensure proper organization of documents.
Assist in calendar management, scheduling tasks, and coordinating deadlines.
Provide administrative support by proofreading documents and ensuring all communications are clear and professional.
Oversee office management tasks.
Utilize and understand all computer software to maintain records and generate reports.
Implement effective time management strategies to prioritize tasks and meet deadlines.
Collaborate with team members to improve workflow and enhance overall office productivity.
Qualifications
Proven experience in an administrative role or as an office clerk is preferred.
Strong organizational skills with the ability to manage multiple tasks simultaneously.
Proficiency in computer applications, including word processing, various technologies such as all programs, and office program management. Experience in QuickBooks is a plus.
Work Ethic:
Proactive, self-motivated, and capable of seeing projects through from start to finish.
Experience:
3+ years of assistant experience; prior experience in answering phones, scheduling, data entry invoicing, logistics is a significant plus.
Excellent proofreading skills with a keen eye for detail and accurate data entry skills.
Strong time management abilities to prioritize workload effectively.
Ability to work independently as well as part of a team in a fast-paced environment.
Familiarity with office management practices is a plus.
