We are seeking a detail-oriented and organized Office Assistant to support daily administrative operations in a dynamic office environment. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management or clerical roles. This position offers an opportunity to contribute to efficient office workflows, provide exceptional customer service, and assist with various administrative tasks to ensure smooth business operations.
Responsibilities
Manage front desk duties, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
Perform data entry, filing, and document proofreading to maintain accurate records
Utilize Microsoft Office Suite and Google Workspace for document creation, editing, and correspondence
Schedule appointments and manage calendars efficiently using calendar management tools
Provide customer support via phone, or in person, ensuring excellent phone etiquette and customer service standards
Assist with bookkeeping tasks using QuickBooks or similar accounting software as needed
Support office management tasks such as organizing supplies, maintaining office equipment, and overseeing general administrative functions
Handle clerical duties including typing, proofreading, and managing correspondence with attention to detail
Maintain organizational systems to ensure documents are properly filed and easily accessible
Support personal assistant duties or medical/dental receptionist responsibilities if required
Qualifications
Proven experience in an office environment or administrative role; office experience preferred
Proficiency with Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry skills
Familiarity with Jobboss software is a plus
Strong organizational skills with the ability to multitask effectively in a fast-paced setting
Excellent communication skills, both verbal and written; bilingual abilities are advantageous
Knowledge of front desk operations and multi-line phone systems
Ability to handle confidential information discreetly and professionally
Demonstrated time management skills with the ability to prioritize tasks efficiently
Experience in customer service or customer support roles
