We are seeking a detail-oriented and organized Office Assistant to support our administrative team. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management and clerical tasks. This role involves providing exceptional customer service, managing office operations, and ensuring smooth daily functions within a professional environment. Bilingual skills are a plus, as well as experience with QuickBooks, Microsoft Office, Google Workspace, and multi-line phone systems. The Office Assistant will play a vital role in maintaining an efficient office atmosphere and supporting various administrative duties.
Responsibilities
Greet visitors and manage front desk operations with professionalism and courtesy
Answer multi-line phone systems, screen calls, and direct inquiries appropriately
Perform data entry, filing, and proofreading to ensure accuracy of documents and records
Manage calendar appointments and schedule meetings using Microsoft Office and Google Workspace tools
Assist with bookkeeping tasks using QuickBooks or similar software
Support office management activities including organizing supplies and maintaining office equipment
Provide customer support via phone, email, or in person with excellent phone etiquette
Handle administrative tasks such as typing correspondence, managing files, and supporting clerical duties
Coordinate appointment scheduling for medical or dental receptionists if applicable
Contribute to a positive office environment through effective organizational skills and time management
Requirements
Proven office experience with strong organizational and multitasking skills
Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
Experience with QuickBooks or similar bookkeeping software is preferred
Excellent computer literacy including data entry, proofreading, and document management
Strong communication skills with professional phone etiquette; bilingual abilities are a plus
Prior experience in front desk or receptionist roles such as medical or dental reception is advantageous
Ability to manage calendar schedules efficiently and handle multiple priorities simultaneously
Clerical experience including filing, proofreading, and administrative support tasks
Demonstrated customer service skills with a friendly demeanor and problem-solving ability
High level of organizational skills with attention to detail and accuracy
Ability to work independently while supporting team objectives

Pay: $10.00 - $12.75 per hour
