We are seeking a detail-oriented and organized Office Assistant to support our daily operations. This role involves providing administrative support, managing front desk responsibilities, and ensuring smooth office workflows. The ideal candidate will possess strong computer literacy, excellent communication skills, and the ability to multitask effectively in a fast-paced environment. Prior office management or clerical experience is preferred, along with familiarity with tools like Microsoft Office, Google Workspace, and QuickBooks. Duties
Greet visitors and coordinate front desk operations with professionalism and courtesy
Handle multi-line phone systems, screen calls, and direct inquiries appropriately
Perform data entry, filing, and document proofreading to maintain accurate records
Manage calendar appointments and coordinate meetings using calendar management tools
Support bookkeeping tasks using QuickBooks or similar software
Assist with office management tasks such as supply inventory and organization of files
Provide customer support via phone and email, ensuring excellent phone etiquette and responsiveness
Support administrative functions including typing correspondence, managing emails, and supporting personal assistant duties for Stacy (CEO) as needed
Maintain a clean and organized office environment to promote efficiency
Skills
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
Strong computer skills with the ability to learn new software quickly
Excellent organizational skills with attention to detail and accuracy
Effective communication skills, both verbal and written
Experience with clerical tasks such as data entry, filing, proofreading, and calendar management
Knowledge of QuickBooks or bookkeeping experience is a plus
Ability to handle multi-line phone systems professionally and demonstrate strong phone etiquette
Customer service experience with a focus on customer support and client interaction
Time management skills to prioritize tasks efficiently in a busy office setting
Previous office or administrative experience is highly desirable
