We are seeking a detail-oriented and organized Office Assistant to support our daily operations. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with office management tools. This role involves managing front desk responsibilities, handling correspondence, and providing exceptional customer service to ensure smooth office functioning. Bilingual skills are a plus, bookkeeping, and data entry. The Office Assistant plays a vital role in maintaining an efficient and welcoming environment for clients, staff, and visitors.
Duties
Greet visitors and manage front desk operations with professional phone etiquette
Answer multi-line phone systems and direct calls appropriately
Schedule appointments and manage calendar appointments using Google Workspace or Microsoft Office tools
Perform data entry, filing, and document proofreading to ensure accuracy and organization
Handle correspondence via email and phone support, providing excellent customer service
Manage office supplies inventory and coordinate office management tasks
Support bookkeeping activities using QuickBooks or similar software
Assist with administrative tasks such as typing reports, organizing files, and supporting personal assistants or medical reception duties as needed
Maintain a clean and organized work environment to promote efficiency
Provide customer support by addressing inquiries promptly and professionally
Experience
Prior office experience or clerical experience preferred
Familiarity with QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace is highly desirable
Experience in front desk management, receptionist roles, or personal assistant positions is a plus
Strong organizational skills with the ability to multitask effectively
Excellent communication skills, including phone etiquette and customer service expertise
Bilingual abilities are advantageous for serving diverse clients
Proficiency in data entry, proofreading, filing, and calendar management is required
Demonstrated time management skills to prioritize tasks efficiently
