We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and support our team. The ideal candidate will possess strong administrative, communication, and organizational skills, with experience in office management, bookkeeping, and vendor relations. This role offers an opportunity to contribute to a dynamic environment, ensuring smooth workflow and efficient office functions across various departments including medical office management, event planning, and team coordination.
Duties
Manage calendar scheduling and coordinate appointments for staff and executives
Oversee front desk operations, including multi-line phone systems and visitor reception
Handle filing systems, document management, and record keeping with attention to detail
Support bookkeeping tasks such as invoicing, expense tracking, and basic payroll processing using QuickBooks
Assist in vendor management by coordinating orders, contracts, and service providers
Supervise administrative staff and coordinate training & development initiatives
Prepare reports related to budgeting, office supplies, and operational efficiency
Facilitate event planning activities for company meetings, seminars, or special events
Ensure compliance with office policies and procedures while maintaining high standards of phone etiquette and customer service
Support human resources functions including onboarding new employees and maintaining personnel records
Experience
Proven experience in office administration or management roles with a strong background in clerical and administrative duties
Prior experience with QuickBooks or similar accounting software is preferred
Demonstrated supervisory or team management experience is desirable
Familiarity with medical office management or healthcare administration is a plus
Strong organizational skills with the ability to manage multiple priorities effectively
Excellent communication skills, both verbal and written, along with professional phone etiquette
Experience with calendar management, filing systems, and multi-line phone systems is essential
Background in event planning, vendor relations, budgeting, bookkeeping, or human resources will be advantageous

Job Type: Part-time
Pay: $17.00 - $22.00 per hour
