Responsibilities
Greet visitors and clients warmly at the front desk, providing excellent customer service and ensuring a positive first impression
Manage multi-line phone systems, screen calls, and direct inquiries efficiently using professional phone etiquette
Handle data entry, filing, and document proofreading with accuracy and attention to detail
Maintain organized records through filing systems, both physical and digital, including documents stored in Google Workspace and Microsoft Office applications
Assist with calendar management and scheduling appointments for staff or executives, ensuring timely reminders and updates
Support bookkeeping activities using QuickBooks or similar accounting software, including invoicing and expense tracking
Perform general clerical duties such as photocopying, scanning, mailing, and inventory management of office supplies
Provide administrative support for special projects or tasks as needed, demonstrating flexibility and initiative
Support office management activities to enhance overall efficiency and workplace organization
Maintain a clean, professional front desk area and ensure all office equipment is functioning properly
Experience
Previous office experience or administrative support roles preferred; experience as a receptionist or personal assistant is a plus
Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and data entry skills
Familiarity with multi-line phone systems and excellent phone etiquette required
Bilingual abilities are highly valued to assist diverse client needs effectively
Experience with clerical tasks such as proofreading, filing, and document management highly desirable
Knowledge of QuickBooks or bookkeeping experience is advantageous for supporting financial tasks
Prior experience in customer service or customer support roles enhances your ability to handle inquiries professionally
Demonstrated organizational skills with the ability to prioritize tasks efficiently in a busy environment
Ability to type accurately at a steady pace while managing multiple responsibilities simultaneously
