Duties
Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette
Answer multi-line phone systems promptly, efficiently routing calls and taking messages as needed
Perform data entry, filing, and document proofreading to ensure accuracy and organization of records
Utilize computer skills in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace to prepare reports, correspondence, and schedules
Assist with calendar management and appointment scheduling for staff and executives
Support office management tasks such as supply inventory, mail distribution, and maintaining a clean, organized workspace
Provide customer support by addressing inquiries via phone or email with professionalism and courtesy
Handle clerical duties including typing, proofreading, filing, and managing office correspondence with attention to detail
Support bookkeeping activities using QuickBooks or similar accounting software when necessary
Coordinate personal assistant tasks such as travel arrangements or special project support as assigned
Experience
Proven office experience or administrative background demonstrating strong organizational skills
Familiarity with multi-line phone systems and excellent phone etiquette skills
Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and basic computer literacy
Prior experience in customer service or customer support roles emphasizing communication skills
Bilingual abilities are highly desirable to serve diverse client needs effectively
Knowledge of clerical procedures such as data entry, filing systems, proofreading, and calendar management
Experience working in medical or dental reception environments is a plus but not required
Personal assistant or medical receptionist experience will be considered an asset
Ability to manage time efficiently while juggling multiple responsibilities in a fast-paced setting
