Job Summary

The 604 Office and Retail Assistant provides administrative support to ensure efficient office operations. Additionally responsible for various tasks related to the retail department, assisting with the retail areas in all 604 locations, online store, guest inquiries, and vendor relations.

Responsibilities

Office Assistant:

  • Provides administrative support to ensure efficient office operations.
  • Answers phone calls, respond to emails, schedule meetings, and communicate team calendar events accordingly.
  • Supports clientele inquiries with company knowledge achieving guest satisfaction.
  • Assist events team members with invoicing, collecting payments, and hosting property tours as needed
  • Carries out administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Exhibits polite and professional correspondence via phone, e-mail, and mail.
  • Supports the team by performing tasks and errands related to the organization.
  • Maintain office supplies inventory by monitoring the stock to determine inventory level, anticipating needed supplies, as well as placing expediting orders.
  • Contributes to team effort by accomplishing related tasks as needed.
  • Performs Other duties as assigned
Retail Assistant:
  • Work closely with the President and designer consultant on procuring and designing new retail items.
  • Maintain retail stock pars through ongoing replenishment orders by working closely with store managers utilizing purchase orders and inventory systems. This includes, but is not limited to picking up and delivering orders to each location as needed.
  • Manage active product line in the inventory system, POS, and online store to ensure pricing and inventory levels are up to date.
  • Assist in inspecting the retail areas in the store and resolve any issues that might arise as required.
  • Keep abreast of market trends to determine the need for improvements in the store and online.
  • Update and execute product lifecycle plan to ensure profitability.
  • Manage and maintain online store to include, but not limited to, responding to guest inquires, managing orders, adding, removing, processing, shipping, and fulfilling online orders.
  • Prepare and provide scheduled sales reports.
Qualifications
  • Must be able to multitask and have superior organizational, analytical, and reporting skills
  • Positive attendance and work performance record.
  • Developed skills in Supply management and inventory control
  • Attention to detail and accuracy while maintaining and meeting critical deadlines
  • Strong computer and administrative skills, focused on word processing. Programs include G-Suite (i.e. Docs, Sheets, Slides, etc.).
  • Ability to work long hours, including weekends and/or holidays.
  • Excellent communication, and interpersonal skills
  • Ability to communicate effectively, both orally and in writing, consistently exhibiting professionalism and Aloha.
  • Maintain strict confidentiality
Education and Requirements
  • A high school diploma or equivalent education required
  • 3 years of administrative assistant experience
  • Knowledge of appropriate software including Google Suite
  • Valid driver\xe2\x80\x99s license, current automobile insurance, and positive driving record clear of violations
  • Ability to frequently sit for extended periods of time, as well as occasionally walk, bend, climb, push/pull, lift and carry up to 35 pounds.
