The Office Administrator plays a vital role in supporting the daily operations of the agency by managing administrative tasks related to client care, communication, and documentation. This position is responsible for handling prior authorization requests, maintaining communication with Managed Care Organizations (MCOs), coordinating with Licensed Professional Counselors (LPCs), creating and maintaining client charts, and ensuring accurate and timely upload of client documents to the Electronic Health Record (EHR) system. The Office Administrator ensures that all administrative processes align with compliance standards and promote efficient service delivery.

Key Responsibilities:
Prior Authorization & Insurance Coordination
Prepare and submit prior authorization and reauthorization requests for client services.
Communicate directly with MCO representatives to verify benefits, resolve issues, and obtain approvals.
Track authorization statuses and ensure timely renewals to prevent service interruptions.
Maintain organized records of all authorizations and correspondence with payors.
Client Chart Management
Create and maintain client charts in accordance with agency and regulatory standards.
Ensure all required documentation is accurately filed, updated, and securely stored.
Monitor chart compliance and follow up with clinicians to ensure missing documentation is completed.
EHR Management
Upload and index all client-related documents into the EHR system promptly and accurately.
Maintain data integrity and confidentiality within the EHR system.
Assist in generating reports or retrieving documents for audits and internal reviews.
Communication & Coordination
Serve as the main point of contact between the agency and MCOs for administrative matters.
Communicate regularly with LPCs and other clinical staff to relay authorization updates, documentation needs, and client information.
Support clinicians with administrative tasks related to client records and authorizations.
Collaborate with the billing department to ensure authorizations align with billing submissions.
General Administrative Support
Answer phones, respond to emails, and provide professional customer service to clients and external partners.
Maintain organized office records, logs, and documentation systems.
