The Office Administrator at our multi-location mental health clinic plays a critical role in ensuring the efficient functioning of the office environment, while also providing support in basic accounting and human resources tasks. This position involves a wide range of administrative responsibilities that contribute to the overall success of our clinic operations. Key Responsibilities: Office Administration:
  • Assist in maintaining a professional, organized, and welcoming office environment.
  • Manage and order office supplies, equipment, and facility needs for multiple locations.
  • Handle incoming calls, emails, and inquiries, providing assistance or directing them to the appropriate staff members.
  • Assist in scheduling appointments, meetings, and managing calendars for clinic staff.
  • Run team meetings and director and prepare agendas
  • Manage office team (receptionist and office assistant).
  • Collaborate with and support the directors of all locations.
  • Organize and maintain offices assignments.
  • Track and coordinate celebrations for team members (birthdays, work anniversaries, gradutation).
  • Oversee onboarding of new team members.
Basic Accounting:
  • Assist with basic accounting tasks, such as processing invoices, expenses, and payments.
  • Help maintain financial records and documentation, ensuring accuracy and compliance.
  • Assist with tracking and managing petty cash, reimbursements, and financial transactions
Human Resources Support:
  • Oversee HR tasks, including maintaining employee records, benefits administration, and new employee onboarding.
  • Help organize and document HR-related processes and procedures.
  • Support staff training initiatives and maintain training records.
  • Provide payroll processing and timekeeping activities.
Facilities and Inventory Management:
  • Coordinate the scheduling and maintenance of clinic facilities addressing any issues promptly.
  • Monitor and manage inventory, including office supplies, ensuring efficient use and reordering as necessary.
Compliance and Record Keeping:
  • Ensure compliance with relevant laws, regulations, and industry standards, including patient confidentiality and data security.
  • Maintain organized records, both physical and electronic, related to patient information, financial documents, and HR records.
Qualifications:
  • High school diploma or equivalent required; Bachelor\'s degree in a related field preferred.
  • Proven experience in office administration, basic accounting, and/or human resources support.
  • Strong organizational skills with attention to detail.
  • Effective communication and interpersonal abilities.
  • Proficiency in Microsoft Office Suite and familiarity with accounting software is a plus.
  • Knowledge of mental health clinic operations and HIPAA regulations is advantageous.
  • Ability to effectively manage a team and problem solve effectively.
  • Previous experience in office management or administrative roles required.
  • Proficient in using office software, such as Microsoft Office Suite and G Suite.
Time Frame:
  • We are looking to hire someone to start December 2023
Job Type: Full-time Pay: $50,000.00 - $56,000.00 per year Benefits:
