Position Summary / Purpose
At True North Restoration Hawaii Inc., we understand how important it is for our customers to feel like they're back in control of their lives after disaster strikes. Our Office Administrator plays a vital support role in ensuring that the daily operations of our office run smoothly and efficiently. With compassion, attention to detail, and professionalism, the Administrative Administrator helps maintain timely communication, organizes job documentation, and supports the broader team in fulfilling our mission of restoring peace of mind to our clients and communities.
Principal Duties and Responsibilities
Learn and manage Third-Party Administrator (TPA) software and systems
Maintain TPA compliance, documentation, and communication with partner networks
Answer incoming phone calls and direct them to appropriate personnel
Greet and assist customers and clients professionally and courteously
Support scheduling of field crews and project activities
Maintain organized filing systems for job documentation and office records
Assist with data entry and administrative paperwork
Prepare and format internal documents and correspondence
Perform mail handling and deliveries to post office or suppliers as needed
Maintain cleanliness and order of front office areas and supply rooms
Additional Duties and Responsibilities
Support follow-up communications with customers and vendors
Assist with tracking inventory and office supplies
Provide administrative support to management and project teams as directed
Decision Rights and Authority
Prioritize daily administrative tasks based on workflow needs
Recommend improvements to office organization or communication flow
Working Relationships and Scope
Reports directly to the General Manager
Interfaces with field technicians, project managers, vendors, and clients
Supports communication across departments to maintain efficient operations

Qualifications - Knowledge, Skills, and Abilities
High School diploma or GED required
Prior administrative or office assistant experience preferred
Basic proficiency with email, spreadsheets, and word processing software
Strong organizational skills and attention to detail
Professional phone and in-person communication etiquette
Job Type: Full-time
Base Pay: $22.64 - $26.47 per hour
