Office Administrator who runs operations like a well-oiled machine, is flexible,
and executes fast on leadership initiatives.
This is a
high-impact, leadership-level role
for someone who thrives on ownership, structure, and moving ideas into action.
What Winning Looks Like in This Role
You are the
nerve center of the business
, connecting sales, production, accounting, HR, and leadership so nothing falls through the cracks--and when something does, you're already fixing it.
1. Own the Admin & HR Engine
Run invoicing, billing, expense tracking, and document management with precision
Ensure no bill, payment, or agreement ever goes missing
Maintain an impeccably organized Google Drive and internal records
Handle
HR administrative tasks
, including:
Employee onboarding (paperwork, system access, checklists, coordination)
Employee offboarding (access removal, documentation, handoffs)
Act quickly when issues arise--sometimes that means
picking up the phone immediately
, not waiting on emails
2. Be the Ops Glue
Track warranties, job registrations, subcontractor estimates, and payment status
Proactively follow up on late payments before they become problems
Monitor shared inboxes and internal communications daily
Prepare and maintain weekly operational reports
Communicate continuously with production, sales, marketing, and leadership to ensure alignment
3. Execute Leadership & Growth Initiatives
Support the CEO with
any operational, analytical, or growth-focused initiatives
Turn ideas into execution--whether that's:
Building new tracking systems
Creating dashboards or reports
Analyzing performance, revenue, or process data
Use
Excel and Google Sheets
to:
Analyze trends
Build scalable reporting
Support data-driven decision-making
Adapt quickly to changing priorities in a fast-growth environment
4. Manage Compliance, Reporting & Communication
Maintain COIs, business licenses, vehicle registrations, and year-end documentation
Send marketing collateral to counties and referral checks to clients on schedule
Compile and deliver
monthly KPI reports
with clarity and accuracy
Serve as a reliable internal and external point of contact when quick decisions or responses are needed
