We're seeking an experienced and reliable Office Administrator / Executive Assistant to help keep our operations running smoothly and support the company's leadership team.
Position Overview:
The Office Administrator / Executive Assistant will be responsible for managing day-to-day administrative tasks, handling correspondence, organizing paperwork and digital files, and assisting ownership with scheduling, communication, and operational support. This role requires excellent organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities:
Open, review, and respond to company and owner's emails in a timely and professional manner.
Maintain organized filing systems for both physical and digital documents.
Assist with implementing and maintaining administrative systems and processes.
Schedule appointments, meetings, and calls for ownership and other team members.
Send reminders and follow up on calendar events, deadlines, and tasks.
Manage correspondence and communication on behalf of ownership when needed.
Coordinate with vendors, clients, and team members to ensure smooth operations.
Support general office functions such as ordering supplies, managing mail, and organizing records.
Perform other administrative and clerical duties as assigned.
Qualifications:
Proven experience in office administration, executive assistance, or similar roles.
Excellent written and verbal communication skills.
Strong organizational and time-management abilities.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and/or Google Workspace.
Comfortable handling confidential information with discretion.
Proactive, dependable, and detail-oriented.
Ability to multitask and prioritize effectively.
Well versed in Microsoft Office products.
Experience in using Outlook, Excel and Microsofot Teams.
Preferred:
Experience supporting business owners or executives.
Familiarity with productivity tools such as Slack, Asana, or Trello.
